Red flags in a wellness app contract

Five red flags to check in a wellness app contract: surprise renewals, seats you cannot reduce, individual data shared with the employer, unclear pricing and no data deletion.

By Nutrola for Teams · Updated

In short

  • Check renewal terms first, including who can turn renewal off.
  • Ask whether seats can change during the term and what happens when people leave.
  • Confirm that the employer sees group totals, not individual data.
  • Ask for the unit, currency and total for your headcount, and how anyone can delete their data.

A wellness app contract should be clear about renewal, seats, data and price. These five red flags deserve a close look, and the table shows how Nutrola handles each one. This guide names no other company, so you can use it with any vendor.

What are the five red flags?

Red flagWhat to checkHow Nutrola handles it
Surprise renewalsFind the renewal clause and who can turn it offStaff licenses are one-time payments with no auto-renewal
Seats you cannot reduceAsk whether seats can change during the termUnused or leavers’ seats move to someone else at no charge
Individual data shared with the employerAsk exactly what the employer can seeThe employer sees group totals only, never anyone’s meals, photos, weight or details
Unclear pricingAsk for the unit, the currency and the totalStaff prices are per person per year, by seat count; perks are quoted per program
No data deletionAsk how a person deletes their dataAnyone can delete their account and data at any time

How do you check renewal?

Look for the renewal date, the notice period and the default setting. If the contract renews unless someone acts, put the date in your calendar well before it arrives. Ask who is allowed to turn renewal off, and get the steps in writing. A renewal you did not plan for can create an unexpected bill.

How do you check seats?

Ask whether you can add or remove seats during the term, and what happens to a seat when a person leaves. A contract that does not allow reductions can leave you paying for empty seats. Ask for the answer in writing, with an example. Nutrola’s answer is that unused or leavers’ seats move to someone else at no charge.

How do you check data?

Check who can see what, and ask for the list of data the employer can view. Make sure individual data is not shared with the employer. For Nutrola, the employer sees group totals only: the number on the list, activated, active, and the average days with a logged meal. Health data is not sold or used for ads, and anyone can delete their account and data at any time.

How do you check pricing?

Ask for the unit (per person, per seat, per month or per year), the currency and the total for your headcount. A price without a unit or currency is hard to compare. For Nutrola, staff licenses are per person per year, with prices from $24 to $35 by seat count, and customer perks are quoted per program with no public price.

What is the employer’s role?

The employer sets the purpose, the group and the review plan. The employer does not need individual details to judge participation. Group totals answer the question, and they respect the privacy of each person on the list.

What should you do before you sign?

  1. Get the renewal, seat and data terms in writing.
  2. Compare the total cost for your headcount, in one currency.
  3. Ask for a pilot before a full-year commitment.
  4. Have legal or procurement review the final terms.
  5. Keep a copy of the signed terms with your budget file.

Quick answers

What is the first thing to check in a contract?

The renewal clause. Find out whether it renews automatically and how to stop it before the date.

Should employers see individual results?

Be cautious. Ask for group totals, and avoid any setup that shows individual health data to the employer.

How does Nutrola handle data deletion?

Anyone can delete their account and data at any time.
