How to write a business case for an employee nutrition app

A business case explains the problem, proposal, cost, risks and how you will judge results. Use this template and a worked Nutrola cost example for 100 people.

In short

  • Use sections for purpose, scope, options, cost, admin work, privacy, measures, risks and the decision.
  • A 100-person example on Nutrola's staff price comes to $3,200 for 12 months.
  • Answer the risks directly, including low use, privacy questions and renewal terms.
  • Ask for the pilot decision first, then the licenses.

A business case explains why the program is needed, what you propose, what it costs, what could go wrong and how you will judge the result. Keep the case to one or two pages, and attach detail only where a reader asks for it. Use the template below and fill in your own numbers. The worked example uses Nutrola’s staff price for 100 people, so you can see how each section looks in practice.

What sections does the template need?

SectionWhat to write
PurposeWhy a nutrition perk, in one plain paragraph
ScopeWho is included: staff only, or also trainers and other groups
OptionsThe 4-week challenge, 12-month staff licenses, or a quote for a customer perk
CostThe per-person price, the total and whether it is one-time or recurring
Admin workWho sends the list, and how access starts
PrivacyWhat the organization sees, and what it never sees
MeasuresThe group totals you will track
RisksLow participation, unclear communication and renewal terms
DecisionWhat you ask leaders to approve, and the next step

What does the 100-person example look like?

LineFigureNote
Staff licenses, 100 people$3,200$32 per person for 12 months, 61 to 150 tier
Optional pilot, 10 people$704-week challenge at $7 per participant
Admin workYour estimateEmail list, activation and reporting review
PrivacyGroup totals onlyNever anyone’s meals, photos, weight or details
MeasuresGroup totalsOn list, activated, active, average days with a logged meal

The table is a model, so replace the figures with your own headcount before you share it.

How should you write the cost paragraph?

Say the total, the per-person rate and the payment method. For example: 100 people at $32 per person for 12 months is $3,200, paid once by invoice from Monorra LLC (Delaware), by card or bank transfer. Staff licenses do not auto-renew, so state that the next year is a separate decision.

What risks should the case name?

  1. Low use: run a pilot, and track the group totals each week.
  2. Privacy concerns: state that the organization sees group totals only.
  3. Renewal: staff licenses do not auto-renew, so renewal is a decision you make.
  4. Leavers: unused or leavers’ seats move to someone else at no charge.
  5. Communication: use one announcement and one privacy line, repeated in reminders.

Name the owner for each risk, and set a date to review it. Naming each risk, with the plan for it, makes the case easier to approve than a case that claims there are no risks.

How should the decision be written?

Ask for a decision on the pilot first, with its budget and review date. Then describe what you will bring back: the group totals, the feedback and a recommendation for licenses. Attach a quote from Nutrola for your own headcount.

How to get started

Fill in the template with your headcount, then request a quote at /quote/ or email partnerships@nutrola.app so the cost section uses real figures.

Quick answers

How long should a business case be?

One page is enough for a first request. Add an appendix with the quote and privacy details if leaders ask for more.

Which figure should come first?

Lead with the total cost for the period, then the per-person price that produces it.

Can I use the example numbers as they are?

Use them only as a starting point. Replace them with your headcount and a quote for your program.
